Eaco Documents: 10 Ridiculously Useful Ways to Run Your Operation From a Single Page

Most businesses have a document problem they don't even know about.

The site brief is buried in someone's inbox. The SOP is a Word file from 2019. The meeting notes are in a notebook in the ute. The client wants an update, so somebody burns an hour copying job info into an email.

That's not a document problem. That's a money problem.

We just shipped a stack of upgrades to Eaco Documents. Pages can now hold live job boards. To-dos become real action items with owners and reminders. And you can share any page with anyone, no login needed.

Stack that on top of everything Documents already does, plus Eaco AI writing the first draft for you, and you get something way bigger than a place to store files.

You get a page that does work.

Here are 10 ways to use it. Steal all of them.

1. Let Eaco AI write the first draft

The blank page is where good intentions go to die.

So don't start from blank. Open a page, click Eaco AI and tell it what you need. "Write a site induction for a hospital cleaning contract." "Turn this meeting transcript into notes with actions." "Rewrite this in plain English for the client."

It writes straight into the page. You edit. Done.

The fastest way to write a great document is to edit a decent one. Eaco AI hands you the decent one in seconds.

2. Build a site brief that updates itself

This is the one that made us lose our minds a little.

Press / in any page and drop in a Job board or a Job list. Pick your filters. One site's open jobs. One supplier's work. This week's inspections.

Now every time someone opens that page, they see the jobs as they are right now. Not as they were the day you wrote it.

Wrap your site notes, access instructions and a checklist around it and you've got a site brief that never goes stale. Write it once. It stays true forever.

And people only ever see the jobs they're allowed to see, so you don't have to think about it.

3. Turn meeting notes into work that actually gets done

Here's how most meetings end: "Great, so everyone knows what they're doing."

Nobody knows what they're doing.

Now, inside any page, type a to-do and turn it into an Action item. It instantly becomes a real record on the Action Items list. Assign it to a person or a whole group. Give it a due date. Set an alert, and when the time comes they get an email and a push notification.

Write it on a job's page and it shows up on that job too. Meeting notes stop being a record of what you said and start being a machine for what gets done.

4. Send clients a live page instead of another attachment

Your client doesn't want another attachment. They want answers.

Hit Share on any page and it gets its own public link. No login. No app. No "can you resend that?" Add a password if it's sensitive.

A banner sits across the top while it's shared, so nobody forgets it's public. Turn sharing off and the link dies on the spot.

Scope of works. Monthly summary. Photos, files, the next steps. One clean page your client can open from anywhere. That's not admin. That's a reason to renew.

5. Stick a QR code on the wall that opens the page

Share a page, then point a code from the Eaco QR Codes registry at it. Print it. Stick it on the cleaner's cupboard, the plant room door, the reception desk.

Anyone scans it with their phone camera and the page opens. Cleaning procedures. Chemical safety info. Who to call after hours.

Here's the kicker. Update the page and the sticker is still right. Need it to point somewhere else entirely? Re-point the code. Never reprint again.

6. Build your company wiki and kill the "how do I..." questions

Every time a staff member asks "how do I...?" you pay for that question twice. Once in their time and once in yours.

Use Page link to connect your pages into a proper wiki. Build an index page that links to everything. Give each page an icon and a cover so it's easy to scan.

We did exactly this for the Eaco User Guide: 16 learning blocks, one per module, all linked from a Start Here page. Built inside Documents, obviously.

Write the answer once. Let it answer a thousand times.

7. Drop live records straight into the page

Documents that describe your business are fine. Documents that are connected to your business are better.

Insert a Job, Managed property, Asset, Contact or Project block and you get a live card of the actual record. A handover page that shows the real property. An asset page that shows the real pump. A project plan linked to the real project.

No copy and paste. No "which version is right?" The record is the source of truth and the page just shows it.

8. Keep every file right where the work happens

Every Job, Project, Managed Property and Contact in Eaco has its own Documents tab. Contracts, site photos, quotes, swing tags. They live on the record and in Documents at the same time.

Filed something in the wrong spot? Drag and drop it, or move files, folders and pages between spaces, jobs, properties, assets and projects in a couple of clicks. Thumbnail previews show you what's what before you even open it.

Already living in Google Drive? Connect it and your Drive files sit right alongside everything else.

9. Turn any page into a PDF or an email in one click

Some people just want a PDF. Fine. Click PDF at the top of any page and it's done. Proposals, inductions, toolbox talks, audit reports.

Or email it straight from the Share drawer. The link arrives in its own email with the page name and who shared it. Every attachment now comes with a download link underneath, so people on their phone can actually save it.

And delivered, opened and bounced events now land on the record's communication log. So "I never got it" becomes "Eaco says you opened it Tuesday morning."

10. Talk about the work right next to the work

Hit Chat on any page and you've got a discussion thread attached to that exact page. Questions about the scope sit next to the scope. Feedback on the SOP sits next to the SOP.

No more scrolling through group chats trying to work out which "looks good" was about which document.

The conversation lives where the context lives. That's how you stop repeating yourself.

The big idea

Most software gives you a place to put documents.

Eaco gives you documents that run your operation. They write themselves with AI. They pull in live jobs. They create and chase tasks. They go out to clients with one link. And they live on the exact job, site or asset they're about.

Ten ways is just the start. Our customers will find twenty more.

See it on one of your own sites

Here's the deal. Give us 30 minutes. Bring one of your real sites and we'll show you exactly what its live brief looks like in Eaco Documents. The job board, the action items, the shareable client page, the QR code on the wall. The lot.

If it doesn't change how you run that site, you've lost half an hour. If it does, you've just found the easiest win in your business this year.
